Create Work Orders (Mobile App)

Work orders streamline task management, ensure clear assignments, and track progress for enhanced efficiency and accountability.

Follow these simple steps to create work orders, ensuring efficient task management, clear assignments, and effective tracking of progress.

NOTE: To open new work orders via the mobile app, you must first enable this option in the web app under Settings > Work Order > Create Work Orders in Mobile App. Afterward, you must log out and back in with the mobile app, and then you can create work orders.

  1. Log In and Access Work Orders:

    • After logging in, click on the menu icon to open the Work Orders section.

  2. Create a New Work Order:

    • Click the Plus button to open a new work order form.

  3. Details Tab:

    • Enter essential information such as the work order name, description, and priority.

    • Add an image related to the work order.

    • Add client details if applicable, and select the relevant asset.

    • Link the work order to a related project if necessary.

  4. Work Tab:

    • Enter Planned Start and End Dates for the work.

    • You can add Work Instructions, Problem Description, Solution Description, or Description of Activities Carried Out later if needed.

  5. Assignments Tab:

    • Assign roles such as Approver, Contractor, and Supervisor.

    • Assign these roles to individuals or organizations. If assigned to an organization, any eligible member can fulfill the role.

    • Approver: Opens the work order, adds instructions and details, and prepares it for the Contractor.

    • Contractor: Executes the work order.

    • Supervisor: Oversees the work order’s correctness and approves or returns it if there are issues.

    • Participants: Optionally, add additional individuals with specific permissions for the work order.

  6. Labors & Parts Tab:

    • Add relevant services, norms, parts, labors, and other expenses. This is usually done later when the Contractor is filling out the work order.

  7. Documents Tab:

    • Attach any relevant documents that provide further details or instructions by clicking the Plus button.

  8. Forms Tab:

    • Add necessary forms to assist with the execution of the work order and ensure that all relevant steps have been completed.

  9. Safety Tab:

    • Include any potential hazards or safety measures required. Contractors must acknowledge these safety procedures through the app before proceeding with the work order.

  10. Save and Approve:

    • Click the diskette icon in the top right corner to save your work. Select "Approve" to assign the work order to the Contractor.

  11. View Work Orders:

    • After saving and approving, if the Contractor role is assigned to someone else, the work order will not appear under "My Orders" (which shows orders assigned to you). Instead, view it under the "All Orders" tab.
