By scheduling preventive maintenance, you avoid costly repairs and enhance asset performance.

Follow these steps to set up preventive maintenance and ensure work orders are created to meet your specific requirements.

  1. Access Preventive Maintenance

    Once logged in, navigate to the sidebar menu and select Work > Preventive Maintenances.

  2. Start a New Preventive Maintenance

    Click on New to begin creating a new preventive maintenance plan.

  3. Enter Basic Details

    Provide essential details:

    • Name: Enter a unique name for your preventive maintenance.

    • Priority: Set the corresponding priority.

    • General Info: Add a Description, select a Process, Starting Status, Type or Category. Associate an Asset, Project, Warehouse or a Client as applicable.

  4. Set Assignments

    Go to the Assignments section to configure roles and responsibilities:

    • Assign relevant permissions for each user or team.

  5. Define Work Details

    Under the Work tab, include important information:

    • Add Work Instructions, a Problem Description, or a Solution Description.

  6. Set Scheduling Preferences
    In the Scheduling tab, define when and how work orders will be generated:

    • Choose a Trigger Type:

      • Time Trigger: Select this if you want work orders to be generated at regular time intervals.

      • Meter Trigger: Use this option if work orders should be created after a specific usage limit is reached (e.g., machine runtime or mileage).

    • Select an Interval Type:

      • Regular Interval: This option ensures that work orders are created at fixed intervals, starting from the date of the first work order creation.

      • After WO Completion: Choose this if the next work order should only be created once the previous one is completed.

    • Set Repeat Options:

      • Choose the frequency of repetition: Daily, Weekly, Monthly, or Yearly.

      • For more complex schedules, you can create multiple scheduling entries to generate work orders for specific occasions.

    • Add Date and Time Information:

      • Specify the start date, time, and any end conditions or exceptions. This ensures the scheduling aligns with your operational needs.

    Completing these scheduling steps ensures your preventive maintenance generates work orders exactly when needed, keeping operations efficient and timely.

  7. Add Labors and Parts

    Under the Labors & Parts tab, specify:

    • Services, Norms, Labors and Parts to include in the generated work orders.

  8. Include Checklists

    In the Forms tab, add relevant checklists:

    • Checklists ensure all tasks are completed thoroughly.

  9. Include Safety Measures

    • Add any Occupational Health and Safety (OHS) measures under the appropriate tab to ensure safety compliance.

  10. Save Your Preventive Maintenance

    Review all entered information.
    Click Save to finalize your preventive maintenance plan. It will now be ready to generate work orders based on your defined settings.
