Discover the various form item types you can enter in our CMMS software to ensure comprehensive and efficient maintenance management.

The following sections detail each type of form item you can add when creating a new form/checklist, providing a comprehensive understanding of their uses and benefits.

  1. Single line of text - Allows the entry of brief, free-form text responses. Useful for short notes or identifiers.

  2. Yes/No - Provides a simple binary choice. Ideal for confirming whether a condition is met or an action has been completed.

  3. Date - Lets users select a specific date. Useful for tracking due dates or completion dates.

  4. Date & Time - Allows users to enter both a date and a specific time. Perfect for scheduling or logging exact timestamps.

  5. Choice (Menu to choose from) - Offers a dropdown menu with predefined options. Great for ensuring standardized responses.

  6. Decimal - Enables the entry of decimal numbers. Useful for recording precise measurements or quantities.

  7. Integer - Allows the entry of whole numbers. Ideal for counting items or recording non-fractional data.

  8. Amount - Lets users enter monetary values. Useful for cost tracking or budgeting.

  9. Subtask (In Progress / On Hold / Completed) - Allows users to track the status of subtasks with these three options. Helpful for monitoring task progression.

  10. Subtask (In Progress / On Hold Completed / Not Completed) - Similar to the previous subtask option but includes an additional 'Not Completed' status for more detailed tracking.

  11. Inspection Check (Pass / Flag / Fail / Not Applicable) - Tracks the status of inspection checks with four options. Additionally, you can select two options: Allow Marking This Item As Fixed and Create Follow-Up WO.

    • Allow Marking This Item As Fixed: This option appears under the item when filling out the checklist and is visible only when selecting 'Failed' or 'Flagged'. If selected, it indicates that the task has been resolved, and no work order is needed. If left unmarked, a new work order will be created from this item, provided you also select "Create Follow-Up WO" during checklist creation.

    • Create Follow-Up WO: When selected, you will be prompted to choose conditions under which the follow-up work order will be created. You can select either 'Failed' or 'Flagged & Failed', determining if a new work order will be generated based on one or both conditions.

  12. Inspection Check (Pass / Flag / Fail) - Similar to the above, but with three status options. It also includes Allow Marking This Item As Fixed and Create Follow-Up WO.

    • Allow Marking This Item As Fixed: Displays when 'Failed' or 'Flagged' is selected. Marking it as fixed means the issue is resolved and no work order is needed. Leaving it unmarked results in a new work order, provided "Create Follow-Up WO" is also selected.

    • Create Follow-Up WO: Prompts you to specify conditions for generating a follow-up work order. Choose 'Failed' or 'Flagged & Failed' to define the criteria for creating the new work order based on the selected conditions.

  13. Meter Reading - Allows users to input readings from various meters. Essential for tracking usage or performance data.

  14. Asset - Enables the selection of specific assets from your CMMS database. Useful for linking tasks to specific equipment.

  15. NFC Check-in (Mobile App Only) - Allows users to check in using NFC technology. Useful for location verification and time tracking.

  16. GPS Location (Mobile App Only) - Records the geographical location where the task is performed. Essential for fieldwork verification.

  17. Signature - Captures digital signatures for different purposes, such as contractor or client signatures. It can be used to sign individual documents within a work order or to sign off on the entire work order, ensuring thorough documentation and authorization.

  18. Image/Document - Enables the attachment of images or documents. Ideal for providing visual evidence or additional documentation.

  19. Barcode Scanner (Mobile App Only) - Lets users scan barcodes to input data quickly. Useful for inventory management or asset tracking.

  20. Input Table - Provides a table for entering structured data. It allows you to choose between several options: Single Line Of Text, Yes/No, Date & Time, Choice (Menu to choose from), Decimal, and Integer. Useful for complex entries that require multiple related data points.

When filling out the form, each form type allows you to add a comment, image, or document for further explanation. This feature enhances clarity and provides additional context, ensuring that all necessary details are included for comprehensive task completion.
