Use Codebook to Customize Entity Fields

Easily update or add fields to system entities.

  1. Access the Codebook

    • After logging in, navigate to the sidebar menu.

    • Click on Administration, then select Codebook.

  2. Select an Entity

    • The Codebook is organized by entities (e.g., Asset, Project, Work Order etc.).

    • Click on the entity you want to manage.

    • Depending on your selection, different sections will appear below..

  3. Choose an Action

    • In the section you want to update, decide what you want to do:

      • New – Add a new entry

      • Edit – Modify an existing entry

      • Delete – Remove an entry.

  1. Add a New Facility Category (Example)

    Let’s walk through adding a new Facility Category:

    • Under the Asset / Facility Category section, click New.

    • Fill in the following fields:

      • Name – The name of the new category

      • Description – A short description for context

      • Parent Category – Optional: select a parent if this is a subcategory

      • Active – Should this category be usable?

      • Selectable – Can users pick this in forms or dropdowns?

      • Default – Should this be selected by default?

  1. Save and Review

    • Once all details are complete, click Save.

    • Your new category will now appear in the list and be available wherever this category is used—unless you left it inactive or unselectable.

  1. Repeat as Needed

    • You can follow the same steps to add, edit, or delete entries in any other section or entity within the Codebook.
