Follow these steps to add permissions in our web app.
Access the "Set Permissions" Section
Understand the Impact of Permissions
Permissions affect how responsibilities are assigned and applied:
When you apply permissions to an asset (e.g., a Location), the responsibilities automatically link to any tasks, work orders, preventive maintenance, or other actions involving that asset. This ensures that the appropriate users are always connected to these activities.
Assign Standard Roles
Assign users to specific roles to clarify their responsibilities:
Approver:
This person is responsible for assigning and approving work orders, tasks, and other related activities.
Choose someone who oversees task delegation and ensures proper planning.
Contractor:
Assign this role to the individual or team responsible for carrying out work orders, tasks and similar.
Contractors ensure that assigned duties are executed efficiently and on time.
Supervisor:
The Supervisor monitors and oversees the work performed by others.
This role ensures that tasks are completed to the required standards and within deadlines.
Accountant:
This role manages the financial aspects, including budgets, expenses, and invoices related to the asset.
Assign an Accountant to maintain accurate financial tracking and reporting.
Add Custom Permissions (Optional)
If the standard roles don’t cover your specific needs, you can create custom permissions:
Click the New button to open the "Assign Permission" dialog box.
Select whether the permission will apply to a User or an Organization (e.g., a department or external entity).
Add the name of the user or organization in the provided field.
Choose the corresponding permission from the list (e.g., Manager, Guest, Administrator etc.).
Click the Select button to confirm the addition.
This method gives you full control to tailor permissions based on your team’s workflow and responsibilities.
Save and Apply Permissions
Once you’ve assigned all necessary roles and permissions:
Click Save to confirm your changes.
The permissions will now be applied and linked to any actions involving the selected asset.
